Everybody Chiropractic – Appointment Terms & Conditions

These Terms & Conditions apply to all appointments, bookings, and services provided by Everybody Chiropractic, Unit 1 Kingfishers Court, Northfield Farm Lane, Witney, OX28 1UE.

By booking an appointment (online, by phone, or in-person), you agree to the following terms.

1. Bookings & Deposits

​

1.1 Online Bookings

• All online bookings require a 50% deposit to secure the appointment.

• Deposits are deducted from the cost of your appointment when you attend.

​

1.2 Free Shoulder or Spinal Screenings (15 minutes)

• Screenings are offered as a complimentary service.

• A £10 refundable holding fee is required at the time of booking to secure the slot.

• The £10 is refunded on the day of the appointment when attended.

• If you do not attend or cancel late (see Section 3), the holding fee is forfeited.

 

2. Payments

• Payments can be made by card, cash, or through online booking.

• All treatment prices are displayed on the clinic website and at reception.

• ChiroPlan members are bound by the terms of their individual plan.

 

3. Cancellations, Rescheduling & Missed Appointments

 

3.1 Cancellation Policy

• We require at least 24 hours’ notice to cancel or reschedule any appointment.

3.2 Late Cancellations

• Cancellations within 24 hours may result in:

  • Loss of deposit (for regular appointments)

  • Loss of £10 holding fee (for free screenings)

  • A cancellation fee equivalent to 50% of the appointment cost.

3.3 Missed Appointments / No-Shows

• Failing to attend without notice results in:

  • Loss of deposit

  • A full appointment fee may be charged

  • £10 holding fee forfeited (for screenings)

4. Appointment Expectations & Clinical Safety

• Your practitioner may decline or modify treatment if clinically inappropriate or unsafe.

• Patients must:

  • Provide accurate medical and health information.

  • Inform the practitioner of any changes in symptoms, medications, surgeries, or health conditions.

  • Be aware that chiropractic care involves hands-on techniques, joint mobilisation, and may involve audible cavitations (“clicks” or “pops”).

5. Confidentiality & Data Protection

• All patient data is handled in accordance with GDPR and GCC standards.

• Your information is used solely for clinical care, administration, and communication relating to your appointment.

6. Practitioners & Scope of Practice

• All chiropractic treatments are carried out by a GCC-registered chiropractor.

• Massage, physiotherapy, and other modalities are delivered by qualified practitioners working within their regulated scope.

7. Right to Refuse Treatment

• The clinic reserves the right to refuse treatment or terminate care if:

  • A patient behaves aggressively, disrespectfully, or inappropriately.

  • Fees are repeatedly unpaid.

  • Clinical judgement determines that chiropractic care is unsuitable.

8. Refunds

• Deposits and holding fees are non-refundable if appointments are missed or cancelled late.

• Refunds are issued only when appointments are attended as scheduled (for screenings) or under clinic discretion.

9. Changes to Terms

• The clinic reserves the right to update these Terms & Conditions at any time.

• The most current version will always be available on the clinic website and at reception.
